Perusahaan Perlu Data Map Baru karena AI Mengubah Aliran Informasi

Coba buka data map perusahaan yang dibuat dua atau tiga tahun lalu.

Biasanya bentuknya cukup rapi.

Website masuk CRM.

CRM masuk data warehouse.

HRIS masuk payroll.

Customer support masuk ticketing.

File masuk Drive.

Ada panah.

Ada vendor.

Ada negara.

Selesai.

Sekarang tambahkan AI.

Employee copy satu email dari Gmail ke chatbot pribadi.

Data pindah.

Meeting bot mendengar Zoom lalu membuat transcript.

Data pindah.

AI coding assistant membaca repository.

Data pindah.

RAG mengambil PDF, memecah jadi chunk, membuat embedding, lalu menjawab di Slack.

Data pindah.

Agent membaca invoice dan mengirim email.

Data bukan cuma pindah.

Ia berubah bentuk sambil berjalan.

Traditional data map mulai kehilangan banyak panah.

Makanya perusahaan perlu data map baru.

Traditional integration biasanya dibangun oleh IT.

API.

ETL.

Configured.

AI usage sering ad hoc.

User paste.

Upload.

Connect.

Agent call.

Browser extension.

Muncul tanpa project integration.

Satu prompt bisa menciptakan flow baru yang hanya hidup 30 detik.

Tapi tetap processing.

Ini alasan data discovery harus lebih continuous.

Tidak cukup interview department setahun sekali.

Need AI inventory.

Approved tools.

Connector logs.

Vendor.

Education.

Shadow use.

Privacy program needs telemetry.

Not surveillance.

Visibility.

Data map lama memetakan sistem

Data map baru harus memetakan use case.

Satu vendor AI bisa dipakai untuk lima hal.

Marketing: public copy.

Legal: contract summary.

HR: CV screening.

Finance: invoice extraction.

Executive: strategy document.

Risk sangat berbeda.

Kalau map hanya: “Vendor: AI Company X”

too coarse.

Need: use case, data category, purpose, owner, model, tool access, retention, training setting, recipient, decision impact.

Same system.

Different data flow.

Use-case mapping is essential.

Input bukan satu-satunya data

AI creates output.

And output can be personal data or confidential data too.

Example: input is performance notes.

AI output: “employee likely not ready for promotion.”

Derived assessment.

Where stored?

HRIS?

Email?

Chat?

If data map only follows input, it misses derived output.

AI data map needs: source data, prompt, retrieved context, model output, memory, action.

Output can be more sensitive than input because it summarizes or infers.

Map both directions.

Embeddings create invisible data stores

RAG.

Document -> chunk -> embedding.

Traditional map says document in SharePoint.

Actually copy-like representations exist in vector database.

Maybe cache.

If file deleted from SharePoint, embedding remains unless pipeline removes.

Data map must include derived stores.

Who owns vector DB?

Vendor?

Company?

Region?

Retention?

Permission?

This is new plumbing.

It doesn’t look like business application.

But it holds searchable organizational knowledge.

Treat as data system.

Memory is another store

Personal AI remembers preference.

Enterprise assistant may store conversation context.

Agent remembers task state.

Where?

For how long?

User-specific?

Workspace?

Can admin delete?

Data map needs persistence type.

Session.

Temporary cache.

Saved memory.

Long-term archive.

Different.

Without this, deletion request impossible to orchestrate.

“Chat deleted” may not touch memory depending product architecture.

We saw this in personal AI systems.

Enterprise needs same awareness.

Tools turn data flow into action flow

Agent reads CRM.

Then sends email.

Creates ticket.

Updates record.

Traditional data map tracks data movement.

AI governance also needs action map.

What can model do with data?

Read.

Write.

Delete.

Send.

Pay.

Publish.

Permission determines risk.

If sensitive info reaches model with email tool, prompt injection could cause exfiltration.

If same model has read-only summary access, blast radius lower.

So map needs capability.

Data + permission.

This is more like system threat model.

AI collapses them.

Connected apps create implicit joins

Drive separately low risk.

Calendar separately low risk.

Email separately moderate.

AI connects all.

Now system can infer: client relationship, project status, travel, health appointment.

Data map must show combination.

UU PDP includes high-risk processing categories such as matching or combining groups of data and systematic evaluation or monitoring.

AI makes combination a default feature.

Companies need identify.

Not every connector combination needs DPIA automatically.

Legal assessment depends context.

But ignoring combination is no longer reasonable.

The line between controller and processor can get messy

Company decides purpose.

AI vendor processes.

Then AI vendor uses subprocessor.

Model provider.

Cloud.

Plugin.

Company may not know chain.

Data map should include legal role and contract.

Controller.

Processor.

Subprocessor.

Independent controller if applicable.

Not because diagram needs legal decoration.

Because rights and deletion depend on who does what.

If customer asks: “who has my data?”

company needs answer.

AI supply chain is long.

Map it.

Data residency should be flow, not pin on map

Many deck: “data region Singapore.”

Okay.

What about inference request?

Support log?

Backup?

Telemetry?

Fine-tune?

Analytics?

One pin hides.

Data map needs flow by data type.

Maybe customer content in region A.

Metadata in B.

Support in C.

Understand.

Cross-border rules depend actual transfer.

UU PDP sets requirements for transfer outside Indonesia.

Legal team can’t assess if architecture unknown.

Engineering and procurement need supply info.

Shadow AI needs a dotted line

Seriously.

Data map should distinguish controlled and observed uncontrolled flow.

Maybe red dotted arrow: “employees occasionally use unapproved AI for meeting notes.”

Don’t pretend it doesn’t exist.

Map uncertainty.

Then fix.

A map can include confidence: confirmed, suspected, unknown.

This is better than fake completeness.

Shadow flow discovery becomes backlog.

Company learns.

Data governance maturity is not having no unknowns.

It’s knowing where unknowns are.

WhatsApp and screenshot deserve arrows too

Indonesia work culture uses WhatsApp heavily.

Customer sends document.

Employee screenshots.

AI asked to summarize.

No formal integration.

Still data flow.

Traditional enterprise diagram often ignores human-mediated movement.

AI amplifies because copy-paste is interface.

A realistic data map must include people.

Manual upload.

Email forward.

Screen capture.

Download.

Not every movement can be logged.

But policy should model common behavior.

If map only follows APIs, it describes robots.

Not company.

Lifecycle must be visible

For each node: created, used, shared, retained, deleted.

AI creates derived nodes.

Embedding.

Summary.

Profile.

Decision.

Need expiry.

If source retention 2 years but derived profile never expires, contradiction.

Lifecycle should propagate.

Not always identical.

But intentional.

Data map becomes foundation for deletion, incident response, DPIA, and vendor review.

One artifact can serve many teams.

Make it operational.

Not PowerPoint art.

Who owns the map?

Privacy?

IT?

Security?

Data?

Answer: shared, with one accountable owner.

Privacy defines legal fields.

Architecture supplies systems.

Security threat.

Procurement vendor.

Business purpose.

Data governance classification.

No one team knows all.

Maybe privacy office maintains register.

But update triggers come from product workflow.

New AI vendor cannot launch without entry.

New connector updates.

Material model change review.

Automate where possible.

This is how map stays alive.

Map can be graph, not spreadsheet

Spreadsheet works at small scale.

At large, graph better.

System -> dataset -> processor -> model -> output -> user -> action.

Relationship.

Query.

“Show all systems where child data reaches external AI.”

“Show all AI that can send email.”

“Show all models processing biometric.”

“Show data stored outside Indonesia.”

This is powerful.

Enterprise architecture, privacy, and AI governance converge.

Not every company needs fancy knowledge graph.

But concept matters: data is relational.

AI makes relationships important.

Board doesn’t need full map

Executives need summary.

How many AI use cases?

High-risk?

Unknown data flow?

Top vendor concentration?

Sensitive data?

Incident?

The detailed map supports.

Board sees dashboard.

This turns data governance from compliance basement into risk management.

Especially when AI becomes core workflow.

No one wants board presentation with 600 arrows.

But someone in company needs those arrows.

And they must be current.

A good map also shows what data never enters AI

This is underrated.

Restricted zone.

Payroll.

M&A.

Secret key.

Medical.

Company can define.

“No external generative AI.”

Then DLP enforces.

Map includes blocked boundary.

Governance isn’t only tracing movement.

It also defines where movement must stop.

Data minimization and least privilege become architecture.

This makes employees safer because they don’t have to remember every exception.

System prevents.

Data map can accelerate AI adoption

Sounds counterintuitive.

People think governance slows.

Actually if company knows: this dataset is approved, this vendor is approved, this flow has DPIA, this retention is set,

new use case launches faster.

Reuse.

Unknown is what slows legal.

Data map reduces unknown.

Sales can answer customer questionnaire.

Security can threat model.

Privacy can respond rights.

Engineering can build.

Good governance becomes infrastructure.

Perusahaan Perlu Data Map Baru karena AI Mengubah Aliran Informasi.

Not because every company needs another colorful diagram.

Because information now moves through paths that barely existed a few years ago.

Prompt.

Memory.

Embedding.

Agent.

Connector.

Inference.

Human copy-paste.

A traditional map that stops at database and SaaS misses the most important new routes.

The new map has to answer five things:

what goes in?

where does it go?

what does AI create from it?

what can the system do next?

and how does all of it eventually disappear?

If a company can answer those five questions for every material AI use case, compliance becomes much less mysterious.

If it can’t, the organization may still be using AI successfully.

It just doesn’t yet know where its information is traveling.

And in 2026, that’s a pretty expensive thing not to know.
